Role Summary:
We seek an Office Manager to oversee our operations and ensure seamless functioning. The ideal candidate will be based at the Richmond Hill office, available five days per week. In this pivotal role, you will manage office supplies, handle customer inquiries, process employee expense approvals, work on customer proposals, and warmly greet customers and vendors visiting the office.
Key Responsibilities:
- Office Supplies Management: Monitor and maintain inventory of office supplies, ordering new items when necessary and ensuring adequate stock levels are maintained.
- Customer and Employee Expense Approvals: Process and approve customer and employee expense reports, ensuring compliance with company policies and procedures.
- Customer Inquiries: Respond to customer inquiries via phone, email, or person, providing accurate and timely information or directing them to the appropriate department.
- Customer Proposals: Collaborate with the sales team to create and refine customer proposals, ensuring they are professional, accurate, and tailored to meet customer needs.
- Greeting Customers and Vendors: Serve as the initial point of contact for customers and vendors visiting the office, providing them a friendly welcome and assisting with their needs.
Skills and Experience:
- Previous Office Management Experience Preferred: Demonstrated experience in office management is highly desirable.
- Strong Organizational and Time Management Skills: Ability to effectively organize tasks and manage time to ensure the smooth flow of office operations.
- Excellent Communication and Interpersonal Skills: Strong verbal and written communication skills to interact effectively with customers and team members.
- Proficiency in Microsoft Office Suite and Relevant Software: Comfortable using Microsoft Office Suite and other relevant software for daily office tasks.
- Ability to Prioritize Tasks and Work Independently: Capability to prioritize tasks and work independently while maintaining attention to detail and accuracy.
- Attention to Detail and Accuracy: Keen attention to detail to ensure precision in office management tasks.
- Ability to Handle Multiple Concurrent Projects And Meet Deadlines: Capability to manage multiple projects simultaneously and meet deadlines.
